What does UK accounts payable outsourcing include?
Accounts payable outsourcing is more than sending invoices to an external provider. A well-designed service covers the routine steps that move an invoice from receipt through review, approval, reconciliation and payment preparation, while keeping financial authority with your business.
What is accounts payable outsourcing?
Accounts payable, often shortened to AP, is the process of managing money owed to suppliers. It includes receiving invoices, checking them, recording them in the finance system, obtaining approval, resolving exceptions and preparing accurate information for payment.
Outsourcing these activities can give a business additional capacity, a more consistent process and clearer visibility without requiring a large permanent internal AP team.
Invoice receipt and data capture
The process usually starts with a controlled finance inbox or document workflow. Invoices are collected, identified and recorded with key information such as supplier, invoice number, date, amount, tax treatment and purchase-order reference where applicable.
Consistent data capture makes later matching, reporting and month-end review more reliable. It also reduces the risk of invoices being lost in personal inboxes or processed more than once.
Purchase-order matching
Where a purchase order exists, the invoice can be matched against the order and, where relevant, confirmation that the goods or services were received. Exceptions may include differences in price or quantity, missing purchase orders or invoices sent to the wrong entity.
Those exceptions should be recorded and sent to the right owner instead of being left in an unmonitored queue.
Approval and exception handling
Outsourced AP support can track invoices awaiting approval, send reminders and maintain a status report. The approval rules should be agreed in advance, including spending limits, delegated authority and escalation routes.
An external AP provider should not create uncontrolled payment authority. Your authorised team should retain responsibility for approving payments and changing sensitive supplier bank information.
Supplier statement reconciliation
Supplier statements can reveal missing invoices, duplicated records, credit notes and invoices that remain open after payment. Regular reconciliation helps keep supplier balances accurate and gives the finance team a clearer view of unresolved items.
Payment-run preparation
Depending on the agreed scope, an AP service may prepare information for a payment run, identify invoices ready for payment and report blocked or overdue items. Final payment approval should remain with the authorised client team, with appropriate segregation of duties.
Month-end support
AP information is important at month-end. A structured process can provide reports on unapproved invoices, goods or services received but not invoiced, supplier statements, credit notes and other outstanding items that may affect financial reporting.
What remains under your control?
- Approval of expenditure and payment runs
- Payment authorisation and banking access
- Commercial decisions about suppliers
- Tax, accounting and statutory responsibilities
- Policies defining who can approve, amend or create records
Your accountant or tax adviser should confirm the treatment of VAT, expenses and other regulated matters for your circumstances.
When is outsourcing suitable?
Accounts payable outsourcing may suit a growing business, an overseas company operating in the UK, a business with an invoice backlog or a team that needs temporary capacity during growth, absence or system change. It can also be useful when the current process is dependent on one person and lacks documented controls.
Questions to ask an AP provider
- Which AP activities are included?
- Which systems can you work with?
- How are exceptions and overdue approvals reported?
- Who retains payment authority?
- How are supplier changes verified?
- What reporting is provided at month-end?
- Can the service begin with a defined pilot?
